The Hidden Cost

The Hidden Cost of Retail Refueling

If your business operates a fleet, you probably send drivers to retail fuel stations. Have you ever calculated what that actually costs?

Time Cost — Example: 20-Truck Fleet
Detour to nearest station15 min
Queue at the station (peak)10 min
Filling time (large tank)10 min
Payment / waiting5 min
Return to route or depot15 min
TOTAL LOST TIME per refueling55 minutes
Driver cost (fully loaded) per hourAED 65
Lost labor cost per refuelingAED 60
Extra km driven per refueling15 km / AED 12
PER-TRIP HIDDEN COSTAED 72
× 2 refuelings/week × 20 trucksAED 2,880/week
ANNUAL HIDDEN COST≈ AED 150,000
That's just the measurable costs. What's not included:
Vehicle wear from extra kilometers driven
Safety risk from unnecessary road movements
Inconsistency in fuel quality between retail stations
Risk of drivers filling at expensive stations (cost leakage)
Lost delivery/operational capacity during refueling trips
Inability to capture bulk pricing discounts vs retail rates

On-site refueling eliminates all of this. Our mobile tanker arrives at your depot or site, and your fleet is refueled in place — typically overnight or during scheduled downtime. Vehicles start the day full. Drivers focus on actual jobs.

Process

The Process — Simple, Safe, and Efficient

1
Step 1
Schedule
We agree on a refueling schedule that works for your operations. Options: Overnight (tanker arrives after evening shift, refuels all vehicles, gone before morning — zero disruption), Weekend (during downtime when fleet is parked), Scheduled day (agreed time window — vehicles refueled in rotation), or On-demand (call when tanks are running low, we dispatch within agreed response time).
2
Step 2
Arrival & Setup
Our tanker arrives at your site. Driver reports to your supervisor or security, positions tanker in the designated refueling area, sets up safety cones and spill containment equipment, and confirms all vehicles/equipment are prepared (engines off, access clear).
3
Step 3
Refueling
Our driver moves from vehicle to vehicle (or vehicles queue at the tanker — whichever you prefer). Metered dispensing means you know exactly how much fuel each vehicle receives. Tank fill-level check prevents overfilling. Spill-free nozzles with automatic shut-off. Real-time recording per vehicle for cost allocation if required.
4
Step 4
Completion & Documentation
Total dispensed quantity verified against tanker meter. Delivery note prepared with: date, time, product, total quantity, vehicle breakdown (if recorded), any observations. Your representative reviews and signs. Driver departs site. Invoice follows per agreed payment terms.
Service Types

Tailored Solutions for Different Operations

For Fleets
Fleet Depot Refueling

For trucking companies, bus operators, logistics providers, taxi companies, and car rental fleets. Tanker visits your depot on a set schedule. All vehicles refueled on-site. Benefits include bulk pricing, driver productivity, fuel consistency, and consumption tracking.

Typical volume: 500–10,000 IG per visit
For Construction
Construction Site Refueling

Mobile refueling of excavators, bulldozers, loaders, dump trucks, graders, rollers, mobile cranes, and generators — directly on the project site. Equipment refueled at its working position or at a designated refueling zone. Eliminates dangerous equipment road movements.

Typical volume: 1,000–8,000 IG per visit, often daily
For Generators
Generator Refueling

For hospitals, hotels, data centers, telecom towers, commercial buildings, and remote facilities. Scheduled refueling of backup and primary generators. Emergency refueling available 24/7 during extended outages. We monitor and manage — you never need to check fuel levels.

Typical volume: 200–5,000 IG per generator
For Vessels
Marine Refueling

For vessels at berth, tugboats, pilot boats, barges, dredgers, and offshore supply vessels. Our tanker delivers MGO or diesel directly to the vessel at its berth. We coordinate with port authorities and your agent for access and timing. Our team understands port security and marine safety.

Typical volume: 1,000–12,000 IG per bunkering
For Events
Event & Temporary Site

For outdoor events, exhibitions, film/TV productions, temporary camps, and disaster response sites. Short-term on-site refueling for the duration of the event or project. Generators, catering equipment, and site vehicles refueled on demand. Post-event, we're gone — no ongoing commitment.

Typical volume: Variable — contact us
24/7
Emergency Response

When equipment runs dry unexpectedly — a power outage extends beyond expectations, a construction deadline demands 24-hour operation, or your depot fuel tank wasn't filled in time — call our emergency line. Tanker dispatched within 15 minutes of order confirmation.

Safety

Safety Is Built Into Every Operation

Refueling vehicles and equipment on-site involves inherent hazards. Our protocols manage these risks professionally.

Pre-Delivery Site Assessment
Before first on-site refueling, our HSE supervisor visits to review tanker access, traffic management, proximity to ignition sources, spill containment, and emergency response coordination with your site team.
Driver HSE Certification
All drivers are trained in hazardous materials handling, fire safety, spill response, first aid, and site-specific safety induction. Certified to applicable UAE standards.
Safety Equipment on Every Tanker
Spill kit (absorbent booms, pads, disposal bags), fire extinguishers (appropriate class), first aid kit, safety cones and warning signs, and full PPE for the driver.
Strict Refueling Procedure
Engine-off refueling mandatory. Bonding/grounding where applicable. No-smoking zone enforced. Spill-free automatic shut-off nozzles. Driver positioned to monitor the entire operation at all times.
Incident Reporting
Any incident — including near-misses — is documented and investigated. Lessons learned feed back into procedures and training. Our goal is, and our record shows, zero incidents.
EHS Trakhees Approved
Our safety procedures are approved under EHS Trakhees standards, the stringent regulatory framework for Dubai free zones and port operations. Compliance documentation available on request.

What Clients Achieved

I was skeptical about switching from retail refueling. Our drivers filled up at stations along their routes — 'it works, why change?' But when I calculated that our 35 buses were losing 7+ hours of productive time per week, I called Hibernia. Their overnight refueling program means every bus starts the day with a full tank. We've saved an estimated AED 200,000+ annually in recovered driver productivity alone.

— Fleet Manager, UAE Passenger Transport Company

We run generators 24/7 at our remote construction camp in Al Ain. Before Hibernia, we had a staff member whose full-time job was monitoring fuel levels and ordering deliveries. Now Hibernia's tank monitoring system does it automatically, and deliveries show up before we even know we're low. Haven't had a generator run dry in 14 months.

FAQ

Common Questions

Is on-site refueling more expensive than retail stations?
Per-litre, our bulk pricing is typically lower than retail pump prices. When you add the hidden costs of retail refueling (driver time, vehicle wear, operational disruption), on-site refueling delivers significant net savings for most fleets of 5+ vehicles.
How long does it take to refuel my fleet?
Depends on fleet size and tanker capacity. A 20-truck fleet with 300-litre tanks can typically be refueled in 2–3 hours. Our overnight service means this happens while your fleet is parked — zero operational impact.
Can you refuel construction equipment that doesn't move (e.g., tower cranes)?
Yes. Our tankers have long-reach hoses and our drivers are experienced in accessing equipment in challenging positions. Site assessment will identify any access issues before your first delivery.
What fuel grades do you provide for on-site refueling?
Primarily EN 590 diesel (10 ppm ULSD) and red diesel/gas oil. Other grades available — discuss specific requirements with your account manager.
Do I need a minimum fleet size for this service?
While the economics are strongest for fleets of 5+ vehicles, we'll work with smaller operations if regular volume makes it viable. Contact us to discuss your specific situation.
